Define what is free
Free can mean a forwarding address, a trial, an included promotional period or a limited mailbox. These solve different problems. Ask whether the service stores messages, sends replies using your domain, and remains free after the introductory period.
Domain registration and renewal may still be separate charges. A free email feature does not make the domain itself free forever. Put the recurring domain cost in your budget even when the mail line is zero.
Follow a complete customer conversation
Send a test enquiry to the proposed business address. Open it, reply and check the address the customer sees. Then ask a second authorized colleague to find the thread and continue it.
If the message is simply forwarded into a personal inbox, the forwarding feature has not automatically supplied shared history or permission controls. A reply from a personal address may also defeat the business identity you intended to present.
Check the operational limits
A free arrangement can be suitable for a modest workflow, but the boundaries should be explicit. Write down the limits before relying on it for customer communications.
- Stored capacity, attachment limits and sending limits.
- Available MFA, administrator recovery and employee offboarding.
- Supported mail clients and the ability to export messages.
- Who provides help and how a service outage is communicated.
- What happens to addresses and retained messages when the offer ends.
Plan the upgrade before you need it
Estimate the paid configuration you would need after hiring another person or reaching the storage limit. Check whether upgrading preserves the same addresses and data. Compare that future price with other offers rather than deciding solely on the opening price.
For example, a sole proprietor may accept one forwarded enquiries address temporarily. A team handling confidential accounts needs a more deliberate arrangement. Choose based on the actual access and continuity requirements, not the label free.
Keep control of your domain
Store registrar access and recovery details securely under business control. ICANN advises checking renewal terms and keeping payment and contact information current. An email saving is small comfort if the business loses the domain used for its addresses.
