Distinguish the three arrangements

Forwarding sends incoming messages onward to another address. An alias is an additional address associated with a destination. A mailbox provides stored mail and its related access. Providers use these terms differently, so confirm the exact behaviour.

A forwarding rule does not by itself create an independent archive, a shared inbox or permission to send as the original address. Some services offer additional sending features, but those must be checked separately.

Follow one sales enquiry

Suppose a customer writes to sales@example.com. With forwarding, the message arrives in Alex’s destination inbox. Check whether Alex’s reply uses sales@example.com or the destination address, and where that reply is retained.

With a delegated role mailbox, authorized colleagues may work from the same stored conversation. Test whether they can see sent replies and whether the right sender identity is used. The presence of a shared address alone does not prove either behaviour.

Choose for the people doing the work

One person may find forwarding adequate for a simple address. A team needs to consider duplicate replies, handover, restricted access and an employee’s departure. Forwarding copies into several personal inboxes can scatter the history across places the business cannot easily manage.

For sensitive work, list exactly which people need access. Use individual sign-ins and supported delegation rather than circulating one password.

Test before relying on it

Use a harmless sample conversation and verify the complete path.

  • An external message arrives at the expected destination.
  • The reply displays the correct business identity.
  • Authorized staff can find incoming and sent messages.
  • Removing a staff member removes their future access.
  • The business can preserve or export the required history.

Review the cost against the outcome

Compare the arrangement that passes your tests, not simply the cheapest address. If forwarding requires a paid destination inbox or an additional sending service, include those in the bill. Also include the operational cost of reconstructing scattered conversations during a handover.
