Find the billable unit

An advertised price may be per user, mailbox, domain or business. Record that unit first. Then check whether aliases, shared addresses, storage upgrades and archived former employees affect the bill.

Ask what happens when a person leaves. Keeping a business address is different from retaining a full licensed account. Export, delegation and archive options have different practical consequences, so compare the option you will actually use.

Calculate an annual example

Here is a hypothetical example in US dollars, excluding tax, discounts and add-ons. At $4 per user per month, five users cost $240 a year, ten cost $480, and twenty cost $960. A fictional flat business plan at $25 per month costs $300 a year at each size—but only if its terms cover the required users and workload.

The flat plan is more expensive at five users and cheaper at ten in this example. That is arithmetic, not a quotation or a statement about a named provider. Changing included storage, support or contract length changes the comparison.

Compare the whole bill

Write one row for each requirement: email, domain renewal, website hosting, team file storage, calendars and any necessary backup or archive. Mark a requirement as included only when the plan explicitly covers it.

Do not add the full price of a separate service when the competing bundle already includes it. Equally, do not treat a temporary promotion as a permanent saving. Keep first-year and renewal-year totals side by side.

Allow for growth and exit

Model today’s headcount and a plausible next-year headcount. Add the storage you expect to need, using the provider’s actual allowance rules. Include the migration effort and the cost of overlapping services during a safe transfer.

  • Record currency, tax treatment and payment commitment.
  • Distinguish monthly billing from a monthly equivalent paid annually.
  • Include renewal rates and the end date of introductory offers.
  • Check exports, cancellation terms and treatment of former employees.

Keep the decision reproducible
