What the service actually does
Business email hosting provides the systems that receive, store and send messages for your business. Your domain supplies the address identity; the hosting service handles the mail behind it. Buying a domain alone does not establish that a working inbox is included.
A useful purchase starts with a workflow. Who needs to sign in, who answers sales enquiries, and who takes over when someone leaves? Write those answers before counting addresses. Otherwise a low price can disguise a service that cannot support the way your team works.
Addresses are not always separate accounts
A person may use one account and several addresses. A role such as sales may need shared access and an independent conversation history. An alias, a forwarding address and a shared mailbox are different arrangements; ask the provider which one its offer includes.
Microsoft, for example, documents shared mailboxes as a way for several people to monitor and reply through a common address. Access permissions and licensing still apply. Do not assume that an extra address creates another user or that shared access is free under every service.

Map a small team before choosing a plan
Consider a fictional five-person business with three named email users and two roles, sales and accounts. Those roles might be delegated to the existing users rather than become two more people. The correct setup depends on who needs independent storage, sending rights and accountability.
Record each address, the people permitted to use it, its purpose and the person responsible for access reviews. Keep sensitive finance conversations separate from general enquiries even when both draw from one storage pool.

Request a written answer to the following questions, then test the important workflows with sample messages.
- Can administrators enforce MFA, remove access and recover an account?
- How are mailbox storage, shared files and attachments counted?
- Can you export messages and preserve role addresses when employees change?
- Which sending limits, renewal prices and support arrangements apply?
